The sticker price isn't the full price
Microsoft 365 Copilot lists at $30 per user per month. That sounds simple. The catch is that Copilot requires an M365 Business Standard (or higher) license. Many SMBs sit on Business Basic or Office 365 E1 today — and need to upgrade before they can switch Copilot on.
Realistic comparison for a 30-person company in 2026:
| Component | Per user / month | Annual cost for 30 users |
|---|---|---|
| M365 Business Standard (required base) | ~$12.50 | ~$4,500 |
| Copilot M365 | $30 | ~$10,800 |
| Total | ~$42.50 | ~$15,300 |
EA discounts can shave 15-25% off. If you already have Business Standard / Premium, you only add Copilot.
What's included
Copilot is not one product — it's an integration bundle:
- Copilot in Word — drafts, summaries, converting notes into documents.
- Copilot in Excel — data analysis, formulas, charts from natural language.
- Copilot in PowerPoint — slide generation from Word, restyles, brand alignment.
- Copilot in Outlook — mail drafts, thread summaries, reply suggestions.
- Copilot in Teams — meeting summaries, action items, follow-up.
- Copilot Chat — a ChatGPT-like interface with access to company files in SharePoint.
- Copilot Studio — build your own agents (simple workflows).
The most value usually comes from Copilot in Teams (saving time on meeting notes) and Copilot Chat against SharePoint (search through the company knowledge base).
What's NOT included
Three things clients often misread:
- Copilot Chat with company files only works against SharePoint / OneDrive. If your data lives in Google Drive, Dropbox, Confluence or local folders — Copilot won't see it.
- "Copilot sees my files" only respects existing permissions. If a file is shared with three people, another employee's Copilot can't see it. Plus for security, minus for staff without access.
- Copilot Studio (agents) is billed separately. The Studio plan starts around $200 / month plus pay-per-message. Easy to overshoot without monitoring.
ROI on a real example
A 30-person B2B services firm, 8-month measurement after deployment (our client, anonymized):
Time saved (hours / month / employee):
- Outlook draft mails: 1.5 h
- Teams meeting summaries: 2 h
- Word report drafts: 1 h
- Excel light analysis: 0.5 h
- Total: ~5 h / employee / month
Monetary value (assuming $12/hour fully-loaded labour cost):
- 30 × 5 h × $12 = $1,800 / month = $21,600 / year.
Copilot cost (assuming they already have M365 Business Standard):
- 30 × $30 × 12 = $10,800 / year.
Net return: ~$10,800 / year, payback ~5.5 months.
The numbers are real, but rest on adoption. SMB studies show 30-40% of employees don't use Copilot at all (habits, training gaps, misunderstanding). After deployment you must run workshops and measure activity.
When Copilot doesn't make sense
Setting aside on-prem requirements (law firms, healthcare), Copilot doesn't pay off when:
- The company uses Google Workspace, not M365 — the alternative there is Gemini for Workspace ($24 / month).
- Staff lives mostly in external SaaS (Salesforce, HubSpot, Notion) — Copilot can't see them and loses context.
- Fewer than 10 people — often simpler to buy ChatGPT Plus ($20 / seat) or Claude Pro and not touch M365.
- Low adoption — if the team won't change workflow, Copilot gets paid for and not used.
Copilot vs ChatGPT Enterprise vs Claude Team
Comparison for a 30-person company (annual, list price):
| Solution | Annual cost | Strength | Weakness |
|---|---|---|---|
| Copilot M365 | ~$10,800 | Deep Office integration | Requires M365, weak outside the suite |
| ChatGPT Enterprise | ~$21,600 | Best model, flexible workflow | No native Office integration |
| Claude Team | ~$9,000 | Best at long context, cheaper | Weaker on image analysis |
| Local Llama 3 | ~$60,000 (3 yr) | Full privacy, no subscription | Requires IT and hardware |
For most SMBs, a hybrid is the best strategy: Copilot or ChatGPT Enterprise for everyday work, a local LLM for sensitive data. See when to pick on-prem over ChatGPT Enterprise.
Pre-purchase checklist
Before signing a Copilot contract, verify:
- Is the team already on M365 Business Standard / E3 / E5? (if not — add the upgrade cost)
- Are key documents in SharePoint / OneDrive (not Google Drive)?
- Does 60%+ of work happen in Word / Excel / Outlook / Teams?
- Do you have budget for adoption training (~$1,200–3,500 in workshops)?
- Have you tried a 30-day Copilot trial for 5 seats first?
3+ yes answers — Copilot will likely pay off. Fewer — start with a pilot or a cheaper alternative.
